Frequently asked questions

Clear scope. Informed decisions.

These answers explain the service and the points to confirm in a quotation. The accepted proposal and contract define each engagement; prices, deadlines and specific conditions are assessed for the case.

About this service

01What information is needed to quote a collection or delivery?

Provide origin, destination, time window, dimensions, weight, description, declared value where needed and handling conditions. Sensitive, restricted or specially handled materials must be identified before acceptance.

02How are delivery and chain of custody evidenced?

The service may include collection records, custody handovers, receipt and proof of delivery. The authorised recipient, signature conditions and handling of refusal or absence are agreed. Photos or other data are collected only when appropriate to the service.

03Are customs, storage and additional attempts included?

The proposal distinguishes transport, customs support through authorised entities, duties or charges, storage and third-party expenses. Further attempts, waiting, returns or missing documents may create additional work and costs under the approved terms.

04When buying materials, who approves the supplier and purchase order?

The client and AKIU agree the specification, criteria, purchasing entity, supplier, price, delivery terms and order approval. Sourcing or procurement coordination does not automatically mean AKIU finances the purchase or assumes the manufacturer’s warranty.

05How are loss, damage or material discrepancies handled?

Receipt should follow the agreed procedure, recording condition, quantities and exceptions. Responsibility, coverage, reporting periods and claims review are set out in the applicable documents. Packaging, declared contents and handling conditions must be correct at origin.

Quotation, payment and delivery conditions (16)
01What is included in the proposal, and what sits outside the price?

The proposal identifies scope, deliverables, quantities, period, responsibilities and exclusions. Professional fees, third-party costs, official charges, taxes and expenses should be separated or clearly identified. A related service is included only when expressly stated.

02How is the charging basis determined?

Depending on the service, the proposal may charge per person, case, hire, trip, vehicle, day, month, location or project. Confirm the quantity, frequency and assumptions used. One job advert is separate from the number of people to be hired for the role.

03Are taxes, official charges and third-party payments included?

The proposal states the treatment applicable to the engagement and distinguishes estimates from confirmed amounts. Government, consular, port, banking and other disbursements should not be assumed to form part of AKIU fees. External changes are identified and handled under the agreed terms.

04Which currency applies, and how is foreign exchange handled?

The proposal or proforma defines the reference currency, payment currency and, where needed, the conversion source, date and method. Also confirm who bears exchange differences and transfer charges. The public simulator does not lock an exchange rate or replace a formal quotation.

05Is advance payment required?

The proposal sets the payment schedule, which may include a deposit, milestone payments, prefunding of third-party expenses or periodic billing. Percentages, milestones, supporting records and bank charges are agreed for the engagement. Creating a portal order does not confirm payment or the start of delivery.

06How long is the quotation valid?

The validity period appears in the proposal or proforma. Availability, quantities, request details and third-party costs may require revalidation after that period or when assumptions change. A client’s preferred date becomes a commitment only when confirmed under the applicable terms.

07What happens if scope, quantity or dates change?

The change is recorded together with its effect on price, timing, resources and dependencies. The client approves the variation before additional work is performed, according to the agreed authorisation process. Changes to a role, employer, activity, route or location may require a new assessment.

08Can I cancel, reschedule or request a refund?

The proposal and contract set the conditions. The review considers work already delivered, reserved resources and third-party costs already committed. Refunds of fees or expenses may also depend on the rules of the entity that received payment; there is no general refund promise.

09When does the timeline start, and which service level applies?

The approved scope defines the starting point, milestones and service levels, including complete documents, approvals, payment and availability where needed. AKIU response times are distinct from decision times controlled by authorities or suppliers. Delays, blockers and dependencies are communicated.

10What information and authorisations must the client provide?

We need an authorised contact, request description, dates, location, quantities, billing details and approval process. Where applicable, confirm the purchase order, cost centre, signatories, mandate and entity documentation. Personal documents are requested only through the appropriate channels and at the necessary stage.

11How are additional expenses approved and evidenced?

The proposal identifies included expenses, reimbursable items and costs paid directly by the client, together with limits and approvals. Additional costs require appropriate scope and supporting records. Closure compares estimated, authorised and actual costs according to the contracted service.

12Does AKIU deliver everything directly or use partners?

The proposal explains who coordinates and who performs each activity. Regulated or specialist services are delivered by appropriately qualified professionals or authorised entities where applicable. Third-party involvement, responsibilities, communication and relevant approvals should be identified in the scope.

13How are documents and confidential information handled?

Purpose, necessary data, collection channels, authorised people and applicable retention and sharing rules are defined. Portal access depends on the user role and contracted service. Do not send passwords or unauthorised third-party information; clarify confidentiality requirements in advance.

14How can I follow delivery and billing?

The primary accountable contact, update cadence and escalation channel are defined at the start. Depending on scope, the client receives statuses, outstanding items, decisions, service evidence and billing documentation. Digital visibility depends on enabled modules, integrations and permissions; the public simulator does not create an invoice.

15Are volume discounts or minimum commitments available?

They may be assessed against confirmed volume, duration, recurrence and required capacity. A discount, minimum quantity, review conditions or exclusivity applies only when included in the accepted proposal. An information request does not create a purchase commitment.

16How are insurance, liability and incidents handled?

Coverage, exclusions, deductibles, responsibilities and reporting procedures are reviewed for the service and recorded in the applicable documents. Confirm who must maintain insurance and which site access or safety conditions apply. A reference to safety coordination is not, by itself, insurance coverage.
